No invoice or Receipt!


Another how do you do it question.

What's the best way to record a credit card payment (on Sage), when that's all you got?

If it's for a non account payment to a supplier but the items bought are unknown, they could be purchases or expenses and the client is VAT registered, so no VAT invoice to file (T0, T9, ?).

Hi Bill,

I would say its T0 on SAGE as I use T9 for thins like bank charges etc. As this was a purchase of some sort I put it down as a T0.

I'm sure if I am wrong someone on here will shout and say.

Any idea what to do with the unidentified purchase? Stick it in suspense, in the hope that an invoice appears, or do something else?

Try asking the client what it was (like they'll remember). If you have the name of the company (should be on cr card statement) and you know what they sell stick it in that nominal code. Like Amanda I'd T0 it. If you know the supplier 'cos it is also a credit supplier you could ring and ask for a copy of the invoice.

The problem with this client is that it is father + 2 sons partnership, each with their own joint business credit card, which they use for just about everything (including the occassional personal purchase!). The problem with this particular purchase, is that the supplier is a builders merchant which they get resaleable purchases from, and also tools and equipment. This is also further compounded by the fact that the transaction was in February, so no chance that anyone will remember!

This a new client I have just taken over and unfortunately I am finding invoices dating back over seven months  and I think there will be a lot like this. I am hoping that when I get it up to date and get the next batch from the client, any wayward invoices will be there.

Is it a business credit card with separate cards (and separate numbers) for each of the the three partners?  If it is, each month you (they) will receive (would have received) a summary statement to the business address with all the transactionsof the three cards on plus each one of them would have received a statement with just their purchases on.  I'm sure at least some of these should materialise.  Then you should be able to identify who bought the stuff and interrogate them. wink

If it's anything like who I've been working for it will be in a wicker basket under the desk along with spurious paperwork ranging from invoices through to flyers.

Sounds like an excuse to wear leather knee length boots and peaked cap to me. evileye

I look forward to finding them.

So far I haven't come across one in the piles of paperwork I had passed to me.
It will also be useful for those personal purchases, to know which partners drawings account to post it to!!!

I think I would post to either a miscellanaeous expenses account or drawings - depending on what mood I was in!!

Yes, doesn't it give you a warm, fuzzy feeling when you put a receipt which is obviously personal into their drawings account and they think they've got away with it.  wink

On the point of the T0 tax code - I use T0 for actual zero rated purchases ie stamps but T2 for bank charges etc. and T9 for anything which doesn,t need to be shown on the VAT return.

I always put T2 for Stamps as they are exempt, the same as flights. Now you've got me wondering if thats correct or not.

I'm sure Sheila, can point us in the right direction.

I was always taught T2 for stamps as it's exempt and bank charges etc T9 as they aren't anyhting to do with vat, T0 for anyhting that is vatable but just happens to have a zero rating.

Yes it's T2 for stamps and other exempt items. These will show on the VAT return as purchases. T0 should be used for zero-rated and also for supplies from non-VAT registered suppliers. T9 is outside the scope of VAT and is used for Bank Charges, internal transfers, wages  etc., these costs are not included in the VAT return.

T0 it on Sage with a miscellaneous reference/nominal, Inland Revenue don't like misc nominals being used but if you're not claiming VAT, they won't be bothered about this transaction.

T9 is only used in very few transactions, such as Bank charges.
