correct posting of wages using Quick Books


I am temping at a  small company who uses Quick Books, never used this software before and am at a loss on how they enter the wages and on costs.  There are no nominal code numbers as in Sage which I find really off putting so any help will be most gratefully received.no

Do you know the double entry accounts normally involved in journaling wages or is it this you need? (as the journaling is not software specific).

Yes I know them for Sage, I can't even find the journal option on QB , no manual and no online access to QB as is an old version, 8, I believe. No one else there knows anything about bookkeeping umph! There are balance sheet accounts such as short term liability ect. and in the expenses there are wages, there are figures in there but they just do not add up ! any suggestions?

Hi I created my own nominal accounts when I had to start posting wages journals because strangely enough they are not on QuickBooks - well not on my version anyway. Journals are found under Company on my version.

Ah, ok! I almost listed the journals. oops. Who did the quick books keying for them before? How were the wages keyed when they were paid - just to expense account? Anything added to that expenses account for tax and ni element? (!!). Also - when they paid the tax and ni element where exactly did they key that part of the transaction? If you check back that first it will give you an idea as what they have/haven't done v should've.

I would also get a full TB printed - can you see anything on there for PAYE creditor?

Also - do a print of all nominal if you can.

It may well be that you do not have full access rights - so see if the administrator/anyone else in the business/whoever set it up all those years ago/Accountant can check that aspect. You can then compare notes and they may need to un-restrict your version.

Only then can you start to do the unravelling/correcting process.

I don't use quickbooks myself but here are a couple of pointers that might help.

A question or three smile

What is the payroll software being used? Who was doing the bookkeeping previously and does your role involve bookkeeping?  Could the previous entries just be the nett wages?

Thank you everyone, I have made a full A4 of your suggestions and will take these with me on Monday, I really need to get it sorted because no one else there knows anything about bookkeeping or wages, also I will need to show the new employee (when they get one) , thanks so much smile
