Accessing Clients Sage software remotley.
 

Hi All, smile

I am a new user so apologise if this has already been answered in a previous discussion. aww

I have a potential client who has Sage 50. They update the software themselves and use the invoices function daily.

They have a back log (1 years unfilled purchase data??) that needs to be updated.

I'm looking for the best (economic) way to up load this information while retaining the access for the client. To complicate matters, they work from home, but the business is 24/7 so they are called out at strange times. So direct access is not possible. 

This makes remote / internet access to the accounts the only sensible way forward. Which is the best Sage package to deal with the problem?

I'm able to use Sage, but its not what I use, so if I need to invest in SAGE I want to get the right package. (Currently, Sage recommend, client manager £840.00!!! doh )

Your thoughts on this matter are much appreciated.

You could talk the client into using VPN or something like GoToMyPC where you can have direct access to the clients PC. They would need to leave the computer on at pre agreed times when you will be using the software and to stay logged out themselves as I'm not sure if sage has any type of record locking system in place.

It would save you a small fortune, and in return your client.

That's my ideal, yet the potential client wants to be able to use Sage while the back load is being done. Is there any way we both can work on Sage at the same time?

Yes, if you have a multi-user licence and have Sage installed on 2 PCs on the same LAN i.e. in the same place. If you need to work remotely, then you could remote control one of the PCs as suggested above.

As mentioned you can do anything, as long as you have enough money to throw at it. Sage should work over a WAN (Wide Area Network), MAN (metropolitan Area Network or VPN (Virtual Private Network) as well as a LAN (Local Area Network). One of the ways you could achieve what you are looking for is to have a 2 user version of Sage installed on a Semi Dedicated or Dedicated server which you and your client would log into. This would be likely to cost somewhere in the region of £30 a month plus license fees.

Actually, thinking about it do we still use WANs and MANs or is anything bigger than a LAN achieve by VPN's?

The suggestion made by Brewsie would work, although it does sound like a cloud application would be a simpler option. You could both have access, you only need internet access (no software or additional machines).

We have a client who we do the bookkeeping for (purchase invoices and bank) using Kashflow, and they visit sites and use it to produce their sales invoices whilst they're there. The person who deals with it is pretty sure you can both access at the same time.

There's obviously a cost involved, but there also is with other 'solutions'.

You could use logmein to connect remotely for free. I use this all the time for all our PC's and it is an amazing tool. As for quick data entry. It depends on how the source data is held. if you can get the info into excel you can do a quick import or use a 3rd party application like excel2sage which updates sage from excel at the click of a button. I don't work for them but have seen it in action. Hope that helps...
