How can I export invoices from QB to excel or word?

Why would you want to export then into word or Excel.

You can customise them with your own logo on etc and they look very professional far more so than on an excel template!

I don't think you can do it, you can save it in PDF if you want to especially when you are emailing an invoice.

I wanted to export the file so I can email the documents to clients - but cannot do so

If you have an email address, enter it on the customer account details.  When you have finished an invoice click on email it will automatically attach the invoice in pdf format to the email.  You can customise the email message either by changing the default on in preferences or just overwriting the standard email.

You need to be using a email program which uses an exchange server rather than a web based system

Then it should work.  I use it from Outlook with no problems on both QB 2008 Pro and 2010 Pro

The other way of doing it is to SAVE it in PDF form into a file on your PC and then go into your emails and attach it in the same way as you would do a normal attachment.

From memory (haven't got QB open at the mo), you go to File menu and towards the bottom of the list there should be one for save as PDF, uou have to have the inv open to do this. Save it to a normal file on the PC and then you can attach it later.

It is a long winded way round doing it but it works.

Edit:  Have you got support with it, maybe give them a ring?

I don't know then, I have done my way and both Sheilas way and both work fine.

I know this is a daft question but have you got QB set up correctly?

The way that I suggested doesn't save it as a PDF within QB its saves in a file on your laptop, say for instants you may have a file for that particular client in your documents on your laptop, so when you are saving it as a PDF it will ask where you want to save it so you have to actually point it in the correct direction and choose the file where you want it saved on your PC. Hope thats makes sense?? I suppose you could say its abit like exporting it but you are not really exporting it. At the top of the QB page it won't come up with Save as a PDF file etc liek it would if its a word doc you are saving.

Ring support, can't guarantee they will help you, but if you have it might be worth given them a bell.

Cannot print - message says no printer connected - have checked printer connections / settings and all are working fine

Cannot email - no message, screen just freezes and then QB crashes

Cannot save - no message, screen just freezes and then QB crashes

I am certain everything is set up properly, as I can save, print and export TB, P&L, BS, transaction list etc for analysis without any problem

From memory QB installs a PDF writer in the printer folder, when you first install QB.

Have look in the printer folder. You should see your normal printers, and possibly a few thing like a fax printer but you should see something relating to QB. If its not there it might be worth re-installing QB

If not you could download a free PDF writer (I use Primo) and print as normal but select Primo as your printer from the list of printers.

QB shouldn't just crash, I would reinstall like Bills says and see what happens. Is it a brand new copy of QB's or is it an older version?

Have you got support?

Sounds like something is not right there with the PC.

There is a known problem with Quickbooks and server systems and the big problem is the pdf converter.

When I first moved to a cloud based server system my IT support people spent hours on the phone to Quickbooks, they ended up building us about 4 different servers trying different specs to try to get it to work and the long and the short of it is that it couldn't be sorted out.

But we did find a way around it. What we did was download and install cutepdf writer, which is free. Then instead of saving an invoice as a pdf, you go to print invoice, but choose the cutewriter printer and that 'prints' it as a pdf ie saves it as one that can then be emailed. It makes it a two step prtocess so it isn't as convenient as the actual 'email pdf' option but at least it makes it possible.

What sort of server are you on? It seems the problem is the way the program tries to route the printing and I have found that if I log on to our cloud server via a thin client it all works fine, the problem is only when logging on using a machine with a printer installed.

solution found:

I spoke to QB support and basically they said that as you have Windows 7, the QB application will not alow you to print / save PDF files - therefore addional items / configuration is needed.

After following their instructions, I am now able to print / PDF files!!!!

what version of QB's are you using??

I am thinking of getting a new laptop and it would be windows 7 so I am interested as to how you would get round this. I use the PDF bit quite abit on mine. What instructions are needed?

QB Premier 2010

The support is very good - they guided me through basically 'switching on' certain things relating to processes / configuration, 'deleting' certain items and 'installing' a few things

Apologies for being so vague - I am not a technical person therefore cannot remember the full detail, just followed the instructions.

I am thinking of getting a new Laptop and then was going to upgrade QB's at the same time, I was going to just go with Pro2010 as I don't need the 2012 version, I don't use their payroll facility. I think I can get Pro 2010 quite cheap off of Amazon.

Don't know if you get QB marketing emails but I received one this morning inviting me to be a QB Pro Advisor for £100+VAT.

At a glance, it appears you get Premier 2012, 12 months payroll, and 12 months support.

It is obviously designed to reel in new prospect but after 12 months, if you don't want to be an advisor, they stop updates.

Just a thought that might be a cheaper alternative

No I'm not a Pro Advisor, just let QB have my email address a couple of years ago, when I trialed a version, and they send me marketing now and again.

Of course the other thing about being a Pro Advisor is that you are a reseller, and are also listed on their search facility. So may be other opportunities can come from it.

I cannot make up my mind if I want to do it. It seems a good way of getting quality software cheap, with a possibility of making a bit smile. Offer expires 14 Feb

Just re-read the email, and it definately says for only £100 +VAT.

However, (there is always an "however"), just had a closer look at the (very) small print, and you have to call the 0808 number or link via chat, to sign up, quoting offer code 190.

Like I said, it is a marketing ploy to reel in new advisors, so I expect that they will try and up sell when you speak to them.

Still may be worth the annoyance of saying NO a few dozen times smile
